CBE Southern Africa Malawi is looking for a proactive and organized Administrative & Marketing Assistant to provide operational and marketing support for ongoing projects. The assistant will help coordinate administrative activities, manage logistics with suppliers and partners, and support the organization’s digital marketing presence. The role requires strong communication skills, attention to detail, and the ability to manage multiple tasks efficiently.

To be successful as an Administrative & Marketing Assistant, you should have experience in administration, logistics, or marketing coordination, as well as the ability to maintain organized records and support communication between project partners. An outstanding candidate will demonstrate creativity, strong organizational skills, and the ability to work effectively in a fast-paced environment.


Administrative & Marketing Assistant Responsibilities:

· Assisting the Project Lead in the daily execution of project activities to ensure successful implementation.

· Acting as a liaison between project partners, suppliers, and internal teams to ensure smooth communication and timely follow-ups.

· Maintaining updated administrative records, project logs, and partner communications for transparency and accountability.

· Coordinating with local suppliers, including printing companies, marketing agencies, and transporters, to ensure quality service delivery.

· Assisting with receiving, verifying, and distributing products and marketing materials to distributors and partners.

· Supporting the sourcing of local materials and services required for project and field activities.

· Managing the organization’s social media presence by creating and scheduling localized content.

· Monitoring and responding to online inquiries and managing online communities such as Facebook or WhatsApp Business platforms.

· Working with marketing agencies to produce brochures, posters, and other promotional materials.

· Assisting in maintaining accurate project databases and records of stock movements and partner interactions.

· Providing administrative support during documentation reviews and compliance processes.


Administrative & Marketing Assistant Requirements:

· Degree in Business Administration, Marketing, Communications, or a related field.

· Minimum of 2 years’ experience in administration, logistics, or marketing coordination, preferably within an NGO or social enterprise environment.

· Experience managing professional social media accounts and basic digital content creation.

· Experience coordinating with suppliers, transporters, and managing stock or inventory movements.

· Excellent communication skills in Chichewa and English (both written and spoken).

· Proficiency in Microsoft Office (especially Excel) and Google Workspace.

· Familiarity with social media management tools such as Meta Business Suite will be an added advantage.

· Strong organizational and time-management skills with high attention to detail.

· Ability to work in a fast-paced environment and manage multiple responsibilities effectively.

· Strong interpersonal skills and ability to build relationships with different stakeholders.

CBE Southern Africa Malawi is looking for a motivated and detail-oriented Project Monitoring Officer to support field monitoring and data collection activities for clean cooking and carbon-financed projects in Malawi. The officer will assist with household surveys, Kitchen Performance Tests (KPTs), and other monitoring activities to assess baseline and project performance. The role also involves ensuring data accuracy, maintaining field documentation, and supporting project verification processes.

To be successful as a Project Monitoring Officer, you should have a strong understanding of field data collection, environmental or development projects, and excellent organizational and communication skills. An outstanding candidate will demonstrate attention to detail, the ability to work in rural communities, and a commitment to climate and development initiatives.


Project Monitoring Officer Responsibilities:

· Supporting the implementation of Kitchen Performance Tests (KPTs) in accordance with project monitoring plans and approved methodologies.

· Conducting household surveys related to cooking practices, fuel consumption, stove usage, and socio-economic indicators.

· Accurately measuring, recording, and documenting fuel use and cooking behaviors required for baseline and project monitoring.

· Reviewing completed surveys and monitoring forms to ensure accuracy, completeness, and consistency before submission.

· Monitoring data quality and identifying inconsistencies that require corrective field action.

· Maintaining organized field records including attendance sheets, consent forms, and monitoring logs required for audits.

· Conducting field audits to verify household selection data and validate survey information such as household members or meals cooked.

· Cross-checking physical household locations with GPS coordinates and digital survey entries to ensure data integrity.

· Assisting with baseline data collection to establish pre-project fuel use and cooking behavior.

· Supporting periodic monitoring activities to evaluate project impact and changes in cooking practices.

· Preparing field summaries and monitoring reports for review by senior monitoring staff.

· Assisting with project validation and verification processes by providing field documentation and supporting site visits.

· Providing feedback and on-the-ground coaching to Direct Selling Agents (DSA) to improve data collection accuracy.

· Following health, safety, and safeguarding procedures during all field activities.

· Representing the project professionally within communities and reporting any concerns to supervisors.


Project Monitoring Officer Requirements:

· Diploma or Bachelor’s degree in Environmental Studies, Natural Resources Management, Statistics, Social Sciences, Development Studies, or a related field.

· 1–3 years of experience in field data collection, surveys, or monitoring for development, environmental, or energy projects.

· Previous experience working in rural communities in Malawi will be an added advantage.

· Experience with clean cooking, energy access, or climate-related projects is desirable.

· Licensed motorbike rider.

· Strong communication, organizational, and time-management skills.

· Ability to work efficiently under pressure and in field environments.

· High attention to detail and strong analytical skills.

· Ability to work in a fast-paced environment and collaborate effectively within a team.
